The brief

Equine Medical Solutions needed a way to standardise how sarcoid cases were reported across the practices that referred them. The existing process relied on email and paper, made follow-up slow, and made longitudinal data nearly impossible to mine.

What we did

Sarcoid referrals had a stubborn process problem. Vets would assess a horse on site, take notes and photos, then drive back to the practice to log into Equine Medical Solutions' systems and submit the referral. That meant multi-day delays between examination and specialist input, extra admin, and the risk of incomplete information by the time the case was finally written up. The brief was simple: a mobile-first solution that lets vets submit high-quality referrals straight from the field.

Equine Medical Solutions, sarcoid referral

We designed and delivered a React Native mobile application that plugs straight into EMS's desktop portal and database. Within four months, vets could capture clinical images on site, add notes, submit cases, and process payment from a single tool, without reopening a laptop.

  • Mobile case capture with images and clinical notes from site
  • Direct integration with EMS's existing database and desktop portal
  • Case management with multi-case tracking and follow-ups
  • Payment processing inside the app, cutting admin steps from the referral

How we approached it

The technical brief was as much about real-world conditions as it was about software. Vets work outdoors with variable signal and patchy time between cases. The app had to be intuitive enough to fit those constraints. Real-time data synchronisation across devices meant switching from mobile to desktop never lost continuity, and the built-in payment system kept the entire referral (including the commercial side) inside the app rather than scattered across email and accounts software.

On-site referral workflow

Transforming the experience

Before the app, referrals could take days to submit. Now they take 15 minutes onsite. More than half of new enquiries arrive via the app, and specialist advice is typically provided by the next working day, so treatment begins much sooner. The platform supports veterinary practices across 67 countries and has supported 15% year-on-year business growth for EMS. Clearer case histories have also strengthened continuity of care.

Outcomes

  • 15 minto submit a case onsiteDown from multi-day delays via desktop
  • 50%+of new enquiries arrive via the app
  • 67countries with leading practices using the platform
  • 15%year-on-year business growth

In their words

  • "GearedApp gave a glitchless delivery. The overall experience has been optimistic, helpful, realistic and the cost has been exactly what I expected. The process was outstanding with the GearedApp team who were eager and interested in the challenges, which were very difficult. Very good value for money."
